Foundation Associate

Morristown, NJ

The Provident Bank Foundation is seeking a full-time foundation associate.  Position will be based at its Morristown NJ office.  Qualified candidates must possess excellent written and oral communication skills, proficiency in grant management software as well as proficiency in Microsoft Office Suite.



The Foundation Associate will work closely with the Executive Director to assist in the implementation of the goals, operations, and activities of The Provident Bank Foundation on a day-to-day basis. Assist across a range of grant programs including culture/arts, education, social/civic, health/wellness and recreation. Associate will provide research and analysis to support the design, execution and evaluation of grants and programs. Must be committed to high-quality work and be extremely flexible and interested in working in a diverse range of program areas. An ability to work in a fast-paced environment while maintaining a positive relationship with grantees and applicants is essential.



       The Foundation Associate will help manage grant programs of $1-2 million annually.


       Primary responsibilities include providing organizational and the administrative support in:

  •  Screening/due diligence on prospective proposals.
  • Assisting in the analysis of project proposals for review by the Executive Director and PBF’s Board.
  • Overseeing an existing portfolio of grants.
  • Reviewing grant progress and outcomes.
  • Evaluating the impact of grants.
  • Working with applicants on their submission of proposals and progress reports.
  • Building strong relationships with grantees beyond PBF’s grantmaking.
  • Evaluating the efficacy of PBF’s grant programs and processes. Designing and implementing new initiatives.
  • Research in selected areas of program interest.
  • Responding to inquiries from a wide range of constituencies.
  • Preparation of department correspondence for internal and external audiences.
  • Working with external PR firm to publicize foundation grants, including use of social media.

Making updates to PBF’s website as necessary.

In addition, the Associate is responsible for providing additional administrative support related to the above and to other areas as needed, such as grants tracking, data entry, and reviewing financial reports. 
Some business travel will be required.




  • Proficiency in online relationship management software, such as Blackbaud Grantmaking or other grants management or CRM (customer relationship management) software.
  • Proficiency with modern office practices and procedures including programs for personal computers (Microsoft Office Suite - Excel, Word, PowerPoint, Outlook)
  • Knowledge of website design tools (CMS- Content Management Systems) a plus.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Excellent verbal and written communication skills.  Ability to prepare written reports, correspondence, and presentations to senior management.
  • Ability to plan, organize, and prioritize multiple projects for timely completion.
  • Ability to establish and maintain effective relationships with management within the organization and outside in the community.
  • Ability to attend meetings or perform assignments at locations outside the office, if necessary.
  • Interest in and commitment to PBF mission is expected.

       Bachelor’s degree or equivalent work experience.

       3 - 5 years working in non-profit or grant making capacity.

Work is performed in a normal office environment.  Noise levels are usually moderate.  Work is mainly performed in a normal office environment with travel between offices. 

       The hazards are mainly those present in a normal office setting.
