Technology Invoice Administrator

POSITION SUMMARY

The Invoice Administrator is responsible for processing and managing invoices for the Technology group. This includes verifying and reconciling vendor invoices, ensuring accuracy of data, and working with vendors and internal departments to resolve any discrepancies.

 

MAJOR JOB RESPONSIBILITIES

  • Prepare, review, and process invoices for accuracy and completeness, ensuring timely payments to vendors.
  • Assist with monthly reconciliations of accounts, resolving discrepancies and ensuring financial accuracy.
  • Communicate with vendors and internal departments to address invoice-related inquiries and resolve any issues promptly.
  • Maintain organized records of invoices, payments, and vendor communications for audit and compliance purposes.
  • Generate and distribute reports on invoice status, payment schedules, and outstanding balances upon request and as needed.
  • Ensure adherence to Vendor Management policies and financial regulations in all invoicing activities.

SKILLS AND TRAINING

  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (especially Excel).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to work accurately and efficiently in a fast-paced environment.

 

EDUCATION

High school diploma or equivalent.

 

WORK EXPERIENCE

  • 1-2 years of experience in accounting, invoice management, or finance

None

 

WORKING CONDITIONS

The work is performed mainly in a normal office environment.  Noise levels are usually moderate.

 

HAZARDS

The hazards are mainly those present in a normal office setting.
