Talent Acquisition Administrative Support (Temp. Assignment)

Position Summary

The Talent Acquisition Administrative Assistant provides administrative and operational support to the Talent Acquisition team. This temporary position is responsible for coordinating sourcing and recruiting tasks, maintaining candidate records, processing recruitment documentation, and supporting onboarding activities. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment. This role is execution focused.

 

KEY RESPONSIBILITIES

 

Candidate Onboarding & Administrative Support

  • Assist with onboarding activities and new hire documentation.
  • Send onboarding communications and collect required employment documents.
  • Maintain accurate candidate and employee records.
  • Support day-to-day administrative tasks for the Talent Acquisition team.

 

Background Check Coordination

  • Initiate and track pre-employment background screenings.
  • Follow up with candidates regarding outstanding requirements.
  • Maintain accurate records of screening status and completion.

 

Documentation & Data Entry

  • Enter and update information in HR systems and databases.
  • Organize, scan, upload, and maintain electronic personnel files.
  • Ensure employment documentation is complete and accurately filed.

 

Employee Record Maintenance

  • Assist with new hire, transfer, and termination documentation.
  • Support document retention and file management processes.
  • Maintain confidentiality of employee and candidate information.

 

Compliance Support

  • Track I-9 completion and required employment documentation.
  • Assist with administrative activities related to onboarding compliance requirements.
  • Monitor outstanding items and follow up as directed.

 

Sourcing & Recruiting Support

  • Create job requisitions within SuccessFactors, ensuring all position details, approvals, and posting information are entered accurately and timely.
  • Support candidate outreach and recruiting-related administrative activities.
  • Assist with candidate sourcing using LinkedIn Recruiter and other recruiting tools.
  • Review resumes and identify candidates meeting basic job requirements.
  • Maintain candidate pipelines and sourcing records.

 

Skills & Qualifications

  • Strong administrative and organizational skills.
  • Excellent attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Strong verbal and written communication skills.
  • Ability to handle confidential information professionally.
  • Experience using applicant tracking systems or HR systems preferred.

 

Work Experience

  • 2-5 years of administrative support experience required.
  • Human Resources, Talent Acquisition, Recruiting Coordination, or related experience preferred.
  • Experience working in a professional office environment.

 

Education

  • High School Diploma or equivalent required.
  • Associate's degree preferred.

WORKING CONDITIONS:

  • Prolonged sitting
  • Lifting from 5 to 10 lbs (printer paper, storage boxes)

Work is performed in a normal office environment. Noise levels are usually moderate. May also involve travel to property locations.

HAZARDS:

The hazards are mainly those present in a normal office setting and those present in commuting by car. Occasionally, they may be exposed to those conditions present in public forums and meeting places.

Pay Details:

$24.00 - $31.00/ hourly

Please note, the base pay actually offered may vary based upon the candidate's skills and experience, job-related knowledge, education, geographic location, internal equity, and other applicable business and organizational needs.
