Accounts Payable Coordinator - IT Billing

POSITION OVERVIEW:

The Accounts Payable Coordinator – IT Billing reporting to the Accounts Payable Manager in the Accounting team, this role serves as the Accounts Payable billing support for IT related vendors.  This role will be responsible for processing all invoices related to IT vendors. This involves coding of general ledger accounts and cost centers on IT related invoices, obtaining approvals from the appropriate personnel in IT and providing updates on payment status. There will be a connection with the FP&A team in terms of information gathering on IT related spend and guidance on accounts/centers used. This role will also be backup for AP in processing invoices for other vendors as needed and in AP payment processing.

 

KEY RESPONSIBILITIES:

  • Monitor AP inbox for IT related invoices. Maintain coding for regular IT services, including general ledger accounts, cost centers and approvers. Obtain approvals from the appropriate personnel in accordance with invoice approval policies. Upload invoices in Banktel AP system and ensure processing occurs in a timely manner
  • Follow up with vendors if invoices have not been received and on questions regarding billing discrepancies. Respond to inquiries from vendors and internal counterparties on payment status. Update Vendor information as changes occur.
  • Assist in AP process for all other vendors as needed and payment processing (ACH/checks)
  • Work with FP&A team to provide reporting from Banktel system on IT related spend
  • Perform other ad-hoc duties as requested
     

MINIMUM QUALIFICATIONS:

  • High school diploma or GED
  • 3-5 years related experience in Accounts Payable or similar role
  • Knowledge of general ledger accounts and how they relate to invoices
  • Working knowledge of Excel, Word and PDF
  • Ability to effectively communicate verbally and in writing. Strong interpersonal skills.
  • Detailed-oriented, organized and able to work with various professional groups in a fast-paced environment

 

WORKING CONDITIONS:

Work is mainly performed in a normal office environment.  Noise levels are usually moderate.

 

HAZARDS:

The hazards are mainly those present in a normal office setting and those present in commuting by car. Occasionally may be exposed to those conditions present in public forums and meeting places.
