Operations Associate
POSITION SUMMARY
Under close supervision, this position performs various operational and administrative activities, routine to complex in nature, which are related to client relationships and account administration. This is the less experienced job in the job family. Incumbent is expected to perform routine and complex duties of the job functions. A certain degree of creativity, diplomacy and latitude is required. Use the Company’s computer systems in daily management of accounts. Required to speak and write in a clear, organized, and concise manner.
KEY RESPONSIBILITIES
- Processes all client requests including deposits, disbursements, transfers, account openings and closings on a daily basis. Executes daily pending transactions such as client bills, check requests, wire transfers, ACH transactions, and depositing checks.
- Communicates directly with clients to obtain approvals when necessary, in collaboration with client team members. Works on all types of correspondence and reports. Is responsible for the organization, maintenance and storage of client files on Salesforce (includes bills paid, tax returns, funds transfer requests, correspondences, etc.).
- Researches and resolves discrepancies and client inquiries. Communicates with third-parties on behalf of clients to gather information and resolve issues.
- Assist with preparation of client meeting materials.
- Handle clerical responsibilities such as phones, mailings, copying and scanning.
- Assists the department manager in special projects as required.
- As a member of Beacon’s administrative team, assist with mailings and other initiatives impacting the entire company. Part of a team offering administrative support within the organization such as room reservations, client meeting setup and breakdown, maintaining a clean office space, etc.
SKILLS AND TRAINING REQUIRED
- Proven ability to prioritize and organize work within a fast-paced environment without losing ac-countability of personal and team goals.
- Ability to organize, analyze and interpret financial data to solve accounting issues under minimal supervision.
- Strong attention to detail, accuracy, ability to multi-task and effective time management skills are required to efficiently manage assigned tasks.
- Strong organizational, analytical, and accounting skills are required to oversee client transactions, identify and resolve account issues and to ensure the accurate delivery and tracking of client requests.
- Knowledge of investments and financial industry as they relate to client transactions would be ben-eficial.
- Considerable knowledge of and/or the ability to rapidly acquire knowledge of applicable laws, rules and regulations governing trust administration.
- Knowledge of Schwab Advisor Center, Fidelity Wealthscape, Salesforce, and Tamarac, or the ability to learn such a system.
- Advanced knowledge of keyboard and PC skills, including Microsoft Word, Excel and Outlook.
- Strong oral/written communication skills.
- Ability to work with a wide variety of personalities in a courteous and efficient manner.
- Must be a team player with strong interpersonal skills to effectively interact with colleagues and cli-ents.

HAZARDS:
The hazards are mainly those present in a normal office setting and those present in commuting by car. Occasionally, they may be exposed to those conditions present in public forums and meeting places.

Pay Details: $23.85 - $29.79
Please note, the base pay actually offered may vary based upon the candidate's skills and experience, job-related knowledge, education, geographic location, internal equity, and other applicable business and organizational needs. This role is incentive eligible based upon company, business, and/or individual goal achievement and performance.
